Verenta Education Refund Policy
Effective Date: Fall 2026
At Verenta Education, we deploy highly specialized human resources, secure enterprise data architectures, and clinical testing tools the moment you activate your account. Because our services—including compliance shields, diagnostic mapping, and case management—are strictly bound by rapid-response schedules and active academic timelines, Verenta Education enforces a strict, unyielding refund policy.
By purchasing a standalone service, completing an intake survey, or maintaining an active monthly Subscription Tier, you unconditionally acknowledge and agree to the following fiscal parameters:
1. The Non-Reimbursable Standard
All monetary investments, service deposits, and fees paid to Verenta Education are 100% non-reimbursable and non-refundable.
This standard applies unconditionally across our entire operational matrix:
-
Subscription Tiers: All monthly pre-paid subscription payments (including Core, Premium, and Elite tracks) are completely final. If you choose to cancel or pause your subscription mid-cycle, your access will remain active until the end of the current paid billing period, but no prorated refunds or partial credits will be issued under any circumstances.
-
Onboarding Fees: Initial administrative fees, including the mandatory 2-Hour Comprehensive Strategy Consultation, are non-refundable once purchased, regardless of whether the session is rescheduled or canceled by the Client.
2. Standalone Services & Document Security
For standalone milestones—such as a Comprehensive Cross-Battery Assessment (XBA), Independent Curriculum Diagnostic Maps, or Emergency IEP/504 Document Reviews—payments are 100% non-refundable once processing begins.
🛑 Evaluation Artifact Protection
Per our standard corporate terms, clinical testing protocols require the upfront allocation of licensed digital testing tokens (via Pearson Q-Global and WPS environments). Therefore, all comprehensive evaluation artifacts, diagnostic reports, and clinical-to-classroom strategy guides are strictly locked and will not be released to the Client or any third-party institution until full payment has been finalized.
3. Strict Academic Cycle Expiration (No Rollovers)
Special education legal windows, timeline enforcement guidelines (such as Georgia's 60-calendar-day track and Illinois' 60-school-day rule), and learning metrics are deeply bound to active academic school years.
-
Time-Sensitive Service Windows: All digital testing tokens, curriculum mapping slots, case tracking metrics, and unused subscription benefits are highly time-sensitive.
-
Use-It-or-Lose-It Rule: All purchased services must be fully deployed within the current active school year cycle. Unused hours, credits, or diagnostic tokens cannot be rolled over into a future academic year, stored indefinitely on our platforms, or transferred to another learner. Unused allocations expire automatically at the formal conclusion of the school year and are entirely non-reimbursable.
4. Administrative Pause & District Deadline Liability
All ongoing services operate on an automated, pre-paid billing schedule.
-
Automatic Pauses: If a recurring monthly auto-draft or credit card charge fails, our system immediately triggers an automated Administrative Pause on your entire portfolio.
-
Forfeiture of Progress: During an administrative pause, all active casework, Specialist tracking, data-sheet auditing, and external school district communications are instantly halted.
-
Liability Waiver: Verenta Education assumes zero liability for missed district timelines, dropped case data, or compromised advocacy outcomes resulting from client-side billing failures or payment friction, and no refunds or credits will be issued for time lost during an administrative pause.
5. Late Cancellation & Scheduling Policy
Because our elite network of 1099 independent contractors and specialists reserve dedicated, high-demand time blocks for evaluations, faculty consultations, and IEP/504 meeting representations, scheduling changes are tightly regulated:
-
Under 24 Hours: Any scheduled session or evaluation canceled or rescheduled with less than 24 hours’ notice will incur an automatic $50.00 late cancellation fee, charged directly to the payment profile on file. This fee cannot be waived, refunded, or credited toward future services.
-
No-Shows: If a client fails to join a virtual meeting or attend an in-person evaluation within 15 minutes of the scheduled start time, the session is forfeited entirely. No makeups, refunds, or service substitutions will be granted.
6. Policy Exceptions
Verenta Education operates uniformly across all client environments to maintain complete data fidelity and strict corporate transparency. Consequently, no individual administrator, 1099 specialist, or customer care representative has the authority to grant verbal or written exceptions to this Refund Policy. Any structural adjustment to a client layout or billing exception must be authorized directly by the Verenta Education executive board in writing.
Acknowledgment & Authorization
By submitting your onboarding survey, completing your secure intake portals, or processing your payment authorization, you certify that you have read, understood, and accept this absolute legal and financial framework.
