Client Terms and Conditions: 

Effective Date: Fall 2026

 

Welcome to Verenta Education (“Verenta,” “the Agency,” “we,” “us,” or “our”). These Terms and Conditions (“Terms”) govern the relationship between Verenta Education and our clients, including parents, legal guardians, homeschool families, independent educators, traditional public/charter schools, school districts, private academies, and business-to-business (B2B) institutional networks (collectively, “Client,” “you,” or “your”).

By onboarding with Verenta, executing an intake questionnaire via our Book Online portal, purchasing a standalone service, or maintaining an active monthly Subscription Tier, you unconditionally agree to be bound by these Terms.

 

1. Scope of Services & Contractor Status

Verenta provides advanced educational consulting, legal compliance auditing, data sheet tracking, case management, and clinical diagnostic mapping.

  • The 1099 Specialist Network: Verenta serves as an institutional agency that vets, assigns, and deploys highly qualified independent contractors (including school psychologists, Board Certified Behavior Analysts [BCBAs], Speech-Language Pathologists [SLPs], and specialized educational strategists, collectively referred to as "Specialists") to execute casework managed through our automated Gusto infrastructure.

  • No Institutional Substitution: Verenta is an independent consulting agency. While we advocate for legal compliance, timeline management, and structural school overhauls, our services do not replace the formal legal counsel of a licensed attorney or the medical diagnosis of a licensed physician.

 

2. Financial Architecture & Pre-Paid Billing Enforcement

To maintain strict operational predictability and guarantee continuous caseworker assignments, all financial transactions are governed by our strict pre-paid billing architecture.

  • Automated Subscription Billing: All monthly Subscription Tiers (including Core, Premium, and Elite tracks) are billed automatically in advance on a recurring monthly cycle.

  • Administrative Pause Protocol: In the event that a monthly auto-draft or credit card charge fails, the system immediately triggers an automated administrative pause. During an administrative pause, all active casework, Specialist tracking, document preparation, and external school district communications are instantly halted. Verenta assumes zero liability for missed school district timelines, dropped case data, or compromised advocacy outcomes resulting from client-side billing failures.

  • Standalone Services: Standalone milestones, including comprehensive Cross-Battery Assessments (XBA), Independent Curriculum Diagnostic Maps, and Emergency IEP/504 Document Reviews, require full payment upfront. Under our unyielding data policies, all evaluation artifacts, diagnostic reports, and clinical-to-classroom strategy guides are strictly locked and will not be released until full payment is completely finalized.

 

3. Strict Cancellation & Late Policies

Because our 1099 Specialist network must reserve high-demand time blocks for evaluations and school meetings, we enforce an absolute, non-negotiable scheduling window.

  • Late Cancellations: Any consultation, strategy session, or scheduled evaluation canceled with less than 24 hours’ notice will incur an automatic $50.00 late cancellation fee, billed automatically to the client's account layout.

  • No-Show Policy: If a client fails to attend a scheduled virtual or in-person session within 15 minutes of the start time, the session is deemed a "No-Show" and is forfeited entirely without the possibility of a makeup session, and is subject to the standard cancellation fee structure.

 

4. Time-Sensitivity, Non-Reimbursability, & Rollover Restrictions

Special education legal windows, clinical testing protocols, and school tracking metrics are deeply bound to active academic school years.

  • The Non-Reimbursable Standard: All programmatic deposits, strategy consultation fees, baseline registration credits, and monthly subscription payments are 100% non-reimbursable and non-refundable.

  • No Rollover of Service Tokens: All digital testing tokens (including Pearson Q-Global and WPS assessment environments), curriculum mapping allocations, and unused subscription benefits are time-sensitive and must be fully deployed within the current active school year cycle. Unused services cannot be rolled over to a future academic year, stored for future use, or transferred to another learner.

 

5. Free Screener & Milestone Disclaimer

Verenta frequently hosts community events, including our regional Free Screener Fests, to assist with early milestone checking and community identification.

  • Informal Status: All free screeners, milestone checks, and preliminary intake surveys are strictly informal check-ins designed for educational tracking and general awareness.

  • IDEA Timeline Exemption: The execution of a free screener or preliminary survey does not constitute a formal clinical diagnosis and does not trigger federal or state Individuals with Disabilities Education Act (IDEA) legal timelines, Child Find obligations, or district evaluation clocks. Formal timelines are initiated solely upon the purchase and execution of a comprehensive Cross-Battery Assessment (XBA) or specific contract-based evaluation.

 

6. Data Security, Privacy, & Regulatory Compliance (HIPAA / FERPA)

Verenta maintains enterprise-grade security protocols to safeguard highly sensitive student personal identifiable information (PII) and physical health matrices.

  • The Vault Ecosystem: Upon onboarding, Verenta provisions an isolated, fully encrypted storage sector natively within our corporate Google Workspace Vault. All psychological profiles, baseline data sheets, school communication logs, and clinical artifacts live here securely.

  • Staffing Firewall (Zero Local Storage): To protect data fidelity, Verenta enforces a strict zero-local-storage mandate across our entire network of 1099 Specialists and contractors. Client files are forbidden from residing on personal hard drives, local desktops, or mobile devices.

  • The SpedTrek Pipeline: Client data utilized in public and charter tracks integrates directly into specialized SpedTrek routines. This automated data-collection system allows Verenta to audit your school district’s implementation paperwork and flag timeline leaks in real time.

  • Data Retention & Purging Lifecycle: To minimize long-term data liability and protect student privacy, Verenta stores case files for a maximum duration of six (6) years following the formal conclusion of services. Upon the conclusion of this six-year cycle, all student profiles, encryption keys, and digital records will be permanently and irreversibly purged from our servers.

 

7. Institutional Liability Limitations

  • Verenta Education guarantees that our services, compliance shields, and audits will be executed with the highest tier of professional and empirical fidelity according to our core Bylaws.

  • However, because ultimate educational outcomes depend upon variable public district funding, shifting state department regulations, and client follow-through, Verenta assumes zero liability for the specific final placement decisions, therapeutic minute allocations, or disciplinary outcomes dictated by independent school boards, administrative judges, or district leadership.

 

8. Amendments to Terms

Verenta reserves the right to modify, adjust, or update these Terms and Conditions at any time to reflect shifting state parameters (such as updates to Georgia’s 60-calendar-day track or Illinois’ school-day compliance rules). Continued utilization of our subscription portals or active communication paths following an update constitutes automatic acceptance of the revised Terms.

By submitting your automated Intake Survey, completing your payment authorization, or scheduling your mandatory 2-Hour Strategy Consultation via the Book Online portal, you certify that you have read, understood, and agreed to this complete legal charter.
